Before going live: what you’ll need
A clear job. A connected channel. Your team ready to follow up.
- Business information you can stand behind
Prepare your services, common answers and qualification questions. Decide what the Pilot should do when it doesn’t have an answer.
- A channel you’re ready to connect
Have access to your website or business messaging account and the right workspace permissions. Each channel has its own connection requirements.
- Someone to receive handoffs
Choose the person, team or queue that receives conversations. Check routing and availability before relying on human follow-up.
Using a number that’s already in the WhatsApp or WhatsApp Business phone app? Tavyo’s current connection flow asks you to free that number first. Its existing chat history does not carry over. Review the preparation steps before making the change. Ask support about your number.

Read the conversation and take over the thread. The Pilot stops handling it while you reply. When appropriate, you can hand it back—or take the Pilot offline to stop its automated handling.

Costs, clearly
Know the costs before you connect.
Workspace plans, AI usage and any channel messaging charges are separate. Paid seats are for people working in your business; Pilots are not paid seats.
Review the proposed plansPublished plans are a pricing proposal. AI-credit allowances, top-up quantities and prices, and usage-limit behavior are still being validated. Choosing a proposed plan does not start billing.
WhatsApp delivery charges are separate from workspace and AI usage. Meta’s rates depend on the message category and recipient market; some service replies are free under its current rules.

What is a Tavyo AI Pilot?
A Pilot is a customer-facing AI agent you build with Tavyo. Give it business knowledge, instructions and a job—such as answering questions, qualifying enquiries or helping arrange bookings. Connect it to your channels and decide when it should bring in your team.
Which channels can my Pilot work on?
Pilots work across WhatsApp, webchat on your website, Instagram, Messenger and TikTok. Each channel needs its own connection and appropriate permissions. Available actions and messaging rules depend on the channel and your setup.
How do I train my Pilot?
Work with Tavyo to define its role, add your business information and choose the questions it should ask. Test example conversations and refine its knowledge and instructions. Training here means preparing your Pilot for your business; no model-training project is required.
Can I try a Pilot before connecting a channel?
Yes. Create a draft and try sample enquiries in a private sandbox before connecting a channel. You can check answers and qualification questions without sending customer messages. Live replies require the channel connection, Pilot assignment and appropriate permissions.
Can a Pilot arrange appointments?
With appointment availability configured, a Pilot can offer a slot and reserve an accepted time. Your business confirms the visit. Set up the appointment queue, availability and required customer details first. Without booking configured, the Pilot can collect an appointment request for your team.
Can my team take over a conversation?
Yes. With the right permissions, use Take over to pause the Pilot on that thread and reply yourself. The conversation stays available. You can hand it back when appropriate. Set up routing and team availability for handoffs.
What if the Pilot does not know an answer?
Choose how it should handle missing information and when it should ask your team. Test those situations before going live, keep its knowledge current and review conversations as you refine its instructions.
Can I keep my current WhatsApp number?
Review your number before making a change. The current connection flow asks you to free a number already active in the WhatsApp or WhatsApp Business phone app, and previous chat history does not carry over. Contact support to review your setup before changing your number.
What does an AI Pilot cost?
Workspace plans, shared AI usage and any channel delivery charges are separate. Pilots are not paid human seats. Published plans remain a pricing proposal; AI-credit allowances, top-ups and usage-limit behavior are pending validation. Check the plan details and any channel charges before going live.
Can a Pilot send messages at any time?
Each channel has its own messaging rules and permissions. For WhatsApp, customer messages open a 24-hour service window; business-initiated messages outside it require approved templates. Follow-up also depends on supported functionality, customer permission and any delivery charges.
